For a multi-million Euro project lasting around one year and involving a team of 10 people I chose to use a mind mapping tool for project management. I worked really well and I would like to share with you some best practices our team established. I also did a video tutorial to clarify visually, see right at the end of the post.
During the project we used Freemind, other free software are available. The map was shared on a common server, I recon that this is not the best way to track changes… we are open to ideas.

So here is how I advise to use mind mapping for project mangement:
1) Take notes during any meeting in Freemind (just use “insert” to add a new node)
a. don’t hesitate to insert hyperlink to found information later on
b. if you work with a share server you can drag and drop a file to create a shortcut
2) Create and allocate actions during any meeting
a. the secret is to use attribute (use shortcut “ALT + F9”), use the left part to allocate a name and the right part for a type of action (e.g. phone call, write an e-mail, etc.)
3) Read notes and track actions
a. the best way to find back an info is to search for a key word (“CTL+F”) and go to the next (“CTL+G”)
b. you can create a filter to track actions
i- to see all existing actions: use the icon filter, then edit and add the following filter “icon exist”
ii- to see actions allocated to one team member: use the “name exist” as a filter
iii- to prioritize actions: use the CTL key and the up and down arrows, I sorted high priority actions on top of the list
